This Privacy Policy explains how HireSciences LLC ("HireSciences," "we," "us," or "our") collects, uses, discloses, and protects personal information in connection with the HireSciences website at hiresciences.com and our assessment services (the "Services"). We limit what we collect to what is reasonably necessary to provide the Services.

1. Our role: controller and service provider

HireSciences acts as a controller (or "business") for personal information we collect about website visitors and employer-client contacts. For personal information about job candidates that we process to build, administer, and score an assessment, we generally act as a service provider/processor on behalf of the employer client, which is the controller of that information. Candidates should direct requests about their assessment data to the employer that invited them and may also contact us using the details below.

2. Personal information we collect

Information you provide

  • Employer and business contacts: name, business email, company, job title, and the role requirements you define at intake.
  • Candidates: name and the responses, selections, and inputs provided while taking an assessment.
  • Communications: information you include when you email us or request a demo.

Information collected automatically

  • Assessment activity: the actions taken during an assessment, including selections, sequence, and timing, used to score observed behavior.
  • Technical data: limited server logs and a strictly necessary session identifier used to operate the assessment and secure access. We do not use analytics, advertising, or third-party tracking cookies.

Using the categories defined under California law, we may collect identifiers (such as name and email); professional or employment-related information (such as role and assessment responses); and internet or network activity limited to operating the Services. We do not knowingly collect Social Security numbers, financial account numbers, government identifiers, precise geolocation, or sensitive personal information, and we do not collect information from children.

3. Sources of personal information

We collect personal information directly from you, from the employer client that invites a candidate, and automatically from your interaction with the Services.

4. How we use personal information

  • To provide, operate, and secure the Services, including building, administering, and scoring assessments and generating reports.
  • To communicate with you, respond to inquiries, and provide support.
  • To improve the quality, structure, and reliability of our assessments, in a limited and job-related way.
  • To comply with legal obligations and enforce our Terms.

We limit our collection and use of personal information to what is reasonably necessary and proportionate to these disclosed purposes, and we do not use it for unrelated purposes without notice.

5. How we disclose personal information

  • To the employer client: candidate assessment results are provided to the hiring employer that requested the assessment.
  • To service providers (subprocessors) acting on our behalf under contract: Supabase (data hosting and storage), Vercel (application hosting), and Anthropic (used solely to draft narrative report language). These providers are restricted from using the data for their own purposes; data submitted to the Anthropic API is not used to train its models under Anthropic's terms.
  • For legal and safety reasons: to comply with law, respond to lawful requests, or protect rights, safety, and the integrity of the Services.
  • In a business transfer: in connection with a merger, acquisition, or sale of assets, subject to this Policy.

We do not sell personal information, and we do not "share" personal information for cross-context behavioral advertising, as those terms are defined under California and other state privacy laws.

6. Cookies and tracking

We use only strictly necessary cookies required to operate the Services and secure access. We do not use analytics or advertising cookies, and there is no cross-site tracking. Because we use only essential cookies, no cookie-consent banner is required. We honor recognized universal opt-out signals, including Global Privacy Control (GPC), where applicable. 7. Data retention

We retain personal information only as long as needed for the purposes described in this Policy: for the duration of an engagement and a reasonable period afterward to meet legal, audit, and dispute-resolution needs, after which it is deleted or de-identified. Candidate assessment data is retained according to our agreement with the employer client and is deleted on the client's instruction or when no longer needed.

8. How we protect personal information

We use reasonable administrative, technical, and organizational safeguards appropriate to the sensitivity of the information, including access controls and encryption in transit. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.

9. Your privacy rights

Depending on where you live, you may have some or all of the following rights regarding personal information for which HireSciences is the controller: the right to know and access the information we hold about you; to correct inaccurate information; to delete your information; to data portability; to opt out of the sale or sharing of personal information and of targeted advertising and certain profiling; and not to be discriminated against for exercising these rights. We do not sell or share personal information or use it for targeted advertising.

How to exercise your rights

Submit a request by emailing contact@hiresciences.com with enough detail for us to verify your identity and locate your information. You may use an authorized agent to submit a request on your behalf, subject to verification. We will not charge a fee for a verifiable request except as permitted by law.

Response times

We will acknowledge and respond to verifiable requests within the timeframes required by applicable law — generally within 45 days, with the ability to extend by an additional 45 days where reasonably necessary and permitted, with notice to you.

Appeals (Connecticut and similar states)

If we decline to act on your request, we will explain why. Residents of Connecticut and other states with appeal rights may appeal by replying to our response or emailing contact@hiresciences.com. We will respond to an appeal within 60 days. If your appeal is denied, you may contact the Connecticut Attorney General (or your state's Attorney General) to submit a complaint.

Candidates

If you are a candidate and your request concerns assessment data we processed for an employer, we will refer your request to that employer (the controller) and assist as its service provider.

10. Children's privacy

The Services are intended for adult job candidates and business users. We do not knowingly collect personal information from anyone under 16. If you believe a minor has provided us information, contact us and we will delete it.

11. Where your information is processed

We are based in the United States and process and store information in the United States. If you access the Services from outside the U.S., you understand your information will be processed in the U.S.

12. Changes to this Policy

We may update this Policy from time to time. We will reflect changes by updating the "Last updated" date below and, for material changes, by providing additional notice where appropriate.
